Chapter 6 How to Write a Media Advisory

Create a Media Advisory Template

Step 1: Place your company’s logo at the top of the page, then hit “Enter” twice to drop down two lines.

Step 2: Type in all caps: FOR IMMEDIATE RELEASE. Drop down to the next line.

Step 3: Type the date, and then drop to the next line.

Step 4: Type your contact information, including your name, email address and phone number. Drop down two lines.

Step 5: Type in all caps: MEDIA ADVISORY. Bold and center this text then drop down two lines.

Step 6: Create a boilerplate at the bottom of the release. This is a short statement of facts about your company, generally not longer than three or four lines of text.

Write the Advisory Text

Step 1: Create a brief headline that describes the event. Center the headline in bold two lines below the “MEDIA ADVISORY” text.

Step 2: Write two or three short paragraphs describing the event. The first paragraph needs to capture the reporter’s attention, so make sure your lead is descriptive and catchy.

Step 3: Create a section at the end with a line for each of the following categories: who, what, why and when. Each category name should be bold and in all caps with the corresponding information typed normally.

Send the Advisory to the Reporter

Step 1: Send the advisory via email if at all possible, but fax is acceptable as well.

Step 2: Follow up with the reporter before the day of the event to see if she is planning to cover it.

Things Couldn’t Be Better

Hilton Head! My boyfriend and I wanted to get out of Statesboro so we went to Hilton Head SC. We have never been and it is so close by why not. We drove up on Sunday to go to Tanger Outlet. We are from Atlanta so we have a Tanger but I have always heard Hilton Head’s was good. Did some shopping for spring break, can’t wait! I got a lot of really cute things and we got to spend the day together. When we were done shopping we went to Carrabba’s and then the beach. It was right by the restaurant, public parking and everything. It was great to see the beach but it was a tease because spring break is so close. We headed home after that but it was a great day trip and I love spending time with my boyfriend.

And the Oscar goes to…

Many of the 2010 Oscar-nominated men have been leading in their communities for years.

 BEST ACTOR Jeff Bridges, Crazy Heart Bridges co-founded the End Hunger Network back in the 1983. It was originally founded to end world hunger; it is now primarily focused on ending childhood hunger in the U.S. by 2015. You can also catch Bridges on the recently re-recorded “We Are the World” for Haiti relief efforts.

 George Clooney, Up in the Air Clooney co-founded Not On Our Watch with his Ocean’s 11 co-stars Don Cheadle, Matt Damon, and Brad Pitt, and producer Jerry Weintraub to stop the genocide in Darfur. His charity has donated millions of dollars to help those in Darfur, with much of the funding going through the United Nations World Food Programme. The organization also made a $1 million donation to Partners In Health for Haiti relief and rebuilding efforts. Clooney recently teamed with MTV Networks to host the Hope for Haiti Now telethon, which raised more than $58 million for Haiti relief. 

Colin Firth, A Single Man Firth supports Oxfam International and its Make Trade Fair initiative. Firth also serves as an Oxfam Ambassador, auctioned off an “experience” with himself on eBay last September to raise money for the charity.

 Morgan Freeman, Invictus Freeman wrote a cookbook Morgan Freeman and Friends: Caribbean Cooking for a Cause with several celebrities like Tom Hanks and Hilary Swank contributing their own recipes. 

BEST SUPPORTING ACTOR Matt Damon, Invictus Damon along with Cloney is a co-founder Not On Our Watch. Damon is also the co-founder of whose mission is “to draw attention to the world’s number one health problem, unsafe and inadequate water supplies, and to raise funds to help fight this immense problem one community at a time.

 Woody Harrelson, The Messenger Harrelson founded VoiceYourself to promote and inspire individual action to create global momentum towards simple organic living and to restore balance and harmony to our planet.
